CollabVilla is a brand of Technicus Infotech LLP ("CollabVilla", "we", "us"). This policy explains what personal data we collect when you use the CollabVilla website, the CollabVilla creator app and the brand portal (together, the "Platform"), why we collect it, who we share it with, and the choices you have.

We process personal data under the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and the rules made under them. For the purposes of these laws, Technicus Infotech LLP is the data fiduciary for your personal data.

By creating an account or using the Platform you agree to this policy. If you do not agree, please do not use the Platform.

2. What we collect

Information you give us

  • Account details: your name, mobile number, email address and password or OTP login.
  • Creator profile: social media handles, follower counts and other public profile information, city, content categories, languages, rates you set, and the portfolio or sample work you upload.
  • Brand details: company name, contact person, business address, GSTIN and billing details.
  • Payout details (creators): bank account number, IFSC and account holder name. We confirm your account with a ₹1 penny-drop. PAN is optional and is used only to deduct tax at the correct rate and issue your TDS certificate.
  • Campaign activity: briefs, proposals, messages, revision notes, content you submit for approval, live post links, and dispute submissions.
  • Things you send us: messages through our contact form, WhatsApp or email, job applications (including your resume), and account deletion requests.

Information collected automatically

  • Device and log data: IP address, device model, operating system, app version, browser type, pages viewed and crash reports.
  • Cookies and similar technologies on the website, used to keep you signed in, remember preferences, protect forms against spam and understand how the site is used. You can block cookies in your browser, though some features may stop working.
  • Notification tokens so we can send you push notifications about your campaigns.

Information from others

  • Payment partners confirm the status of payments, refunds and payouts.
  • Social platforms, if you choose to connect an account, share the data that platform allows with your permission (for example, audience and engagement insights). You can disconnect at any time.

We do not ask for Aadhaar or other KYC documents.

3. How we use it

  • To create and run your account and verify that you are who you say you are.
  • To match creators with campaigns, show brands relevant creators and explain the match.
  • To hold campaign funds, release payments when work is approved, and pay creators out instantly.
  • To issue GST invoices and TDS certificates and to meet our tax, accounting and legal obligations.
  • To handle revisions and decide disputes fairly, using the brief and the campaign thread.
  • To send service messages by SMS, WhatsApp, email and push notification (for example OTPs, payment confirmations and deadline reminders).
  • To keep the Platform safe: preventing fraud, fake accounts, spam and misuse.
  • To answer your questions and assess job applications.
  • To improve the Platform using aggregated or de-identified usage data.
  • To send you product updates and offers, only where you have agreed. You can opt out at any time using the unsubscribe link or by writing to us.

We do not sell your personal data.

4. Who we share it with

  • The other side of a collab. Brands see a creator's profile, public metrics, proposals and submitted content. Creators see the brand's name, brief and messages. Bank details and PAN are never shown to the other side.
  • Payment partners and banks that collect funds from brands, hold campaign reserves and make payouts.
  • Service providers that host our servers, send SMS, WhatsApp, email and push notifications, provide analytics and crash reporting, and help with customer support. They may only use your data to provide services to us.
  • Professional advisers such as auditors, chartered accountants and lawyers.
  • Government and tax authorities, courts and law enforcement where the law requires it, including TDS and GST filings.
  • A buyer or successor if our business is merged, acquired or restructured, under the same protections described here.

Some of our service providers may store or process data outside India. Where they do, we take reasonable steps to make sure your data is protected to the standard this policy describes and as permitted by Indian law.

5. How long we keep it

  • Account and profile data: for as long as your account is active. When you delete your account, we delete or anonymise it within 30 days, except as listed below.
  • Payments, invoices, TDS and campaign ledgers: for the period required by tax and accounting laws, generally up to 8 years.
  • Content delivered in a completed collab: remains with the brand under the usage rights agreed in that campaign brief.
  • Messages, job applications and support records: up to 24 months, unless we need them longer to resolve a dispute or meet a legal requirement.
  • Backups: are overwritten on a rolling basis within 90 days.

6. How we protect it

We use encryption in transit (HTTPS), access controls, restricted access to payout details and audit logs, and we review our security practices regularly. No system is completely secure, so please keep your OTPs and password to yourself. If we become aware of a personal data breach that affects you, we will inform you and the authorities as the law requires.

7. Your rights

Under Indian law you can:

  • Access a summary of the personal data we hold about you and how we use it.
  • Correct or update inaccurate or incomplete data. Most profile details can be edited in the app.
  • Erase your data by deleting your account. See how to delete your account.
  • Withdraw consent for optional uses such as marketing. This does not affect processing that already happened, or processing we must do by law.
  • Nominate another person to exercise your rights if you die or become unable to do so.
  • Raise a grievance with us, and if it is not resolved, with the Data Protection Board of India.

To use any of these rights, email [email protected] from your registered email address or message us from your registered mobile number. We will respond within 30 days.

8. Children

The Platform is for people aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe a minor has created an account, write to us and we will remove it.

9. Links to other sites

Live post links and creator profiles lead to third-party platforms such as Instagram and YouTube. Their own privacy policies apply when you visit them.

10. Changes to this policy

We may update this policy as the Platform and the law change. We will post the new version on this page with a new "last updated" date, and notify you in the app or by email if the changes are significant.
